1. Introduction
KMP+ House of Mentoring ApS (KMP+, “we”, “us” or “ours”) is a consulting company focused on delivering mentoring programmes for talent and leadership development to private and public organisations around the world (“organisation” – meaning the private company, public organisation or trade union etc. that is the client). Our Services (“Services” meaning all the products and services, online and physical that we offer) include courses, training and workshops etc. – which can be delivered face2face or virtually –online surveys and platforms, training materials, books and other publications as well as consulting with HR and leaders at the client organisations. To deliver these Services we store and manage personal data, and we place great emphasis on processing this personal data with care and in accordance with the law.
This Privacy & Cookie Policy describes what personal data we collect and process, the reason and purpose for collecting it, and how we safeguard the data collected. Additionally, you can read about the rights you are guaranteed whenever KMP+ processes your personal data.
The legal basis for KMP+’s processing of your personal data is stipulated by the General Data Protection Regulation and the Danish Act on Processing of Personal Data.
2. What is personal data?
Personal data is any information that relates to an identified or identifiable living individual. Personal data includes information such as your name, position/title, phone number, organisation address, e-mail address etc.
3. How KMP+ processes your personal data
KMP+ only collects personal data for specified purposes of legitimate interest. The type of personal data that KMP+ processes depends on the specific purpose. The types of personal data that KMP+ primarily processes and the purposes for this processing are listed below.
In general, we collect these personal data in order to:
- Provide the Services requested by your organisation.
- Provide general customer service and support.
- Communicate with you regarding delivery of the Services.
- Gain customer insights and knowledge of how our Services are used, and to help us continue developing and improving our Services.
- To fulfil a legal obligation that is the responsibility of KMP+, such as processing and storage of transaction information in accordance with the Accounting Act.
Additionally, we may have your personal data, because you have signed up for receiving information from us, or because we have identified you as a potential candidate for our Services.
We collect personal data for the following specific purposes:
A) Online Platforms: The Mentor+UniverseTM Platform and Karriere+navigationTM
For the purpose of member administration and providing online Service, KMP+ processes your personal data because you are an employee or member of an organisation that is buying our Services and has requested us to provide you with these Services. Some personal data may be optional for you to provide. We collect and process some or all of the following data:
- Profile information including username and password (unless you decide to change your password yourself). Once we have sent to you your access information, username and password, we delete the password from all our files.
- Personal information: name, phone number, email address, position/title, organisation, location, private address, photo, trade union.
- Which mentoring programme you belong to in your organisation and whether you are a mentor, a mentee, a programme manager or a Mentor+ accredited trainer/facilitator.
We have a legitimate interest in using your personal data such as your IP address, browser type, the pages on the Platform that you viewed and the time you spent on those pages.
B) Online surveys and evaluations
We deliver online surveys for the evaluation of the mentoring programmes and other development activities.
C) Virtual and physical workshops and courses – for your organisation
We deliver physical workshops in locations decided by our clients and virtual workshops through various online platforms such as WebEx, Skype for Business, Zoom etc. For some of these courses, we issue course certificates.
D) Matching mentors and mentees
When we deliver mentoring Service to our clients, among these Service is the task of matching mentors and mentees for the mentoring programme.
E) Executive Business Mentors
We have built a network of trained, accredited and experienced mentors that we provide on a one-to-one basis to individuals, who may buy the service directly themselves or gain access to this service through their organisation. These mentors are not employees of KMP+. They do not receive a salary from KMP+ for their services. Their compensation is a free 3-day Executive Business Mentor training and accreditation and two annual networking and supervision events.
F) Open courses and events
We offer various open courses, conferences and other open events – in physical locations or as blended learning – as part of our Service. For some of these, we issue course certificates.
G) Accreditation and licence agreement
We offer a Mentor+ facilitator/trainer accreditation course which includes a licence agreement with the individual and their organisation.
H) Coaching
We offer individual coaching sessions.
I) Marketing
KMP+ only sends marketing material to you via e-mail if you have given consent to this under the rules stipulated in the Danish Marketing Practices Act.
For above purposes, we collect and process some or all of the personal data mentioned below:

- Password
- Name
- Gender
- Age
- Phone
- CV
- Position/title
- Organisation
- Location/full address
- Private address
- Photo
- Trade union
- Personality/ Preference profile
- Course certificate
- Mentoring programme - the name of the programme that you are responsible for or participate in
- Your role - mentor, mentee, programme manager, Mentor+ accredited trainer/facilitator
- Your match - who your mentor/mentee is
- Subscribed newsletters etc.

4. Use of cookies on our websites and online platforms
Cookies are little text files which are stored on the browser or hard drive of your computer or mobile device when you visit a webpage or application. Cookies work to make your experience browsing our site as smooth as possible and they remember your preferences, so you don’t have to insert your details again and again.
We use cookies in our websites and in our online platforms in order to optimise the user experience. This includes statistics, as well as customer and user analysis and segmentation in order to increase our understanding of user needs, and to provide better and tailored services on all our online platforms and websites. Additionally, we use cookies for advertisement targeting, so we can show you the ads that are most relevant for you and register how often the same ad is displayed.
You can remove cookies from your browser. If you prefer, you may refuse to accept cookies when you open any of our online platforms or websites. However, if you refuse, you may be unable to use the full functionality of the online Service and your user experience may be affected.

5. Google Analytics
We use Google Analytics to help us understand how users are using and engaging with our online Service – websites and platforms. This allows us to make improvements and optimise the user experience.
The Google Analytics tracking tool uses a number of cookies to collect information and report online usage statistics and does so without personally identifying individual users to Google.

6. Correction of personal data
Because the Services we provide depend on your data being correct and up-to-date, we ask you to inform us of any changes to your personal data. You can correct some of the personal data yourself or contact us at info@kmpplus.com to inform us of the changes.
7. Disclosure of personal data
KMP+ shares personal data in connection with the provision of our Services. Such third parties may be granted access in order for them to be able to provide the agreed service. Additionally, we share personal data with your organisation when needed to provide the requested Services. We only share personal data with public authorities or subcontractors if we have a lawful reason to do so.
8. Security of processing
KMP+ safeguards your personal data and has internal rules, routines and checks to ensure data security. Our data security is based on a thorough assessment of the risks associated with the processing of your personal data.
We have taken both technical and organisational measures to safeguard your personal data. In addition, we ensure that unauthorised persons do not have access to your personal data, for example by limiting access to personal data to relevant members of staff. In order to avoid loss of data we perform regular back-ups of our data files.
We always ensure that we have the necessary controls in place to protect your personal data. However, we cannot guarantee security of the data that you upload to our online platforms via the Internet. Any transmission is at your own risk.
KMP+ also uses sub-data processors as part of our day-to-day IT operations. This means that personal data may be processed by KMP’-s sub-data processors. These sub-data processors are located within the EU.
9. Storage of personal data
KMP+ has fixed guidelines for when certain types of personal data must be deleted. This ensures that we do not store your personal data longer than necessary.
We have carefully considered our guidelines for each individual category of personal data on the basis of applicable legislation and our desire to provide the best possible service. The storage period depends on the type of data and the processing purpose.
10. Your rights
Because KMP+ processes your personal data, you have a number of rights under the General Data Protection Regulation. These rights are described below. You can exercise your rights by contacting KMP+. You can find our contact information at the bottom of this document.
Right to access
You have the right to obtain access to the personal data KMP+ holds about you and certain other information.
Right to correction
You have the right to have incorrect personal data corrected.
Right to erasure
In certain cases, you have the right to have your personal data erased before KMP+-s general deletion deadline.
Right to restriction of processing
In specific cases, you have the right to restrict the processing of your personal data. In such cases, your personal data may, with the exception of storage, only be processed by KMP+ with your consent for the establishment, exercise or defence of legal claims, for the protection of the rights of another person or for reasons of public interest.
Right to object
In certain cases, you have the right to object to KMP+’s otherwise lawful processing of your personal data. You may also object to the processing of your personal data for purpose of direct marketing.
Right to transfer personal data (data portability)
In certain cases, you have the right to receive your personal data in a structured, commonly used and machine-readable format and to have this personal data transferred from one data controller to another without hindrance.
Right to withdraw consent
You have the right to withdraw consent at any time. You can do this by contacting KMP+. You can find our contact information below in this document.
If you choose to withdraw consent, it does not affect the lawfulness of KMP+’s processing of your personal data based on your consent before its withdrawal. Hence, the withdrawal only comes into force from the time at which you withdraw consent.
Right to lodge complaint with the Danish Data Protection Agency
You have the right to lodge a complaint with the Danish Data Protection Agency if you are dissatisfied with our processing of your personal data. You can find contact information for the Danish Data Protection Agency at www.datatilsynet.dk.

11. Updates to this Privacy Policy
The Privacy Policy covers any personal data that we collect in effect at the time that such information is collected. We reserve the right to make change to this Privacy Policy. The date at the start of this document indicates the latest changes. If we make significant changes to the Privacy Policy, you will be notified about this through our website or otherwise, to give you the opportunity to review the changes.
If you do not wish to accept the changes, you can contact us and ask to have your personal data deleted. Your continued use of our Services after publication of the updated Privacy Policy signifies your acceptance of the changes.
